Getting started

Your package

AI Web Assistant: $297 setup + $197/month. AI Receptionist: $497 setup + $297/month. Each package covers one agency, one configured assistant and one agreed deployment. Additional agents, locations or deployments require a separate quote.

What setup includes

A standard intake questionnaire, configuration of the selected assistant, customization using your approved business information, the agreed website widget or inbound-call deployment, lead handoff to an agreed destination, representative testing, one consolidated review round and a short handoff guide or walkthrough. Phone services and usage allowances are specified in your written order.

What we need from you

Provide accurate agency contact details, hours, service areas, insurance lines, approved FAQs, escalation instructions, the lead recipient and necessary website or account access. Please do not supply sensitive customer health, policy, financial or identity information for setup.

Timing and review

Our target is 3-5 business days after we receive complete information and access and confirm the agreed scope. This is a target, not a guaranteed deadline. Missing information, third-party dependencies or expanded scope can change the schedule; we will communicate a revised target.

Before handoff

You review business facts and the agreed conversation flow. Send one consolidated list of corrections within five business days of receiving the review version. We correct setup errors and test the agreed handoff before activation. Silence is not treated as approval to activate.

Training means configuration

We configure approved knowledge and instructions, then test representative conversations. The assistant supports your licensed team; it does not provide licensed insurance advice, bind coverage or guarantee eligibility, enrollment or sales outcomes.

Monthly care and support

Routine maintenance

Monthly service includes a brief monthly review of representative conversations, the configured lead destination and the website widget or inbound-call path, plus routine adjustments needed to maintain the agreed configuration. Checks cover sampled behavior; they do not review every conversation or guarantee uninterrupted service.

Included minor updates

Web Assistant includes one consolidated minor-update request per service month. Receptionist includes two. Each request may contain up to five small edits to existing hours, business contact details, FAQs, escalation instructions or conversation wording. Updates must stay within the existing agent, insurance lines and integrations.

How the allowance works

A service month follows your billing cycle. Submit each request as one email or document. Clarification and corrections to that same batch count as part of the original request. A new batch or new scope is a new request. Unused requests expire at the end of the service month and do not carry forward.

Errors are handled separately

Corrections to IAHQ configuration mistakes and routine maintenance of the agreed setup do not consume your minor-update allowance. A new preference or changed business requirement is an update, even when described as a correction. Problems caused by client edits or third-party changes are assessed before any chargeable work begins.

Support channel and hours

Email [email protected]. Support hours are Monday-Friday, 9 AM-5 PM Central, excluding US federal holidays. Our target is an initial response within two business days. An initial response acknowledges and assesses the issue; it is not a promise of resolution within that period.

Service interruptions

If the assistant stops responding or leads stop reaching the configured destination, use the subject SERVICE ISSUE and include the affected page or phone number, time and a non-sensitive example. We prioritize issues affecting the configured service during support hours. There is no after-hours human support or guaranteed restoration time in the standard packages.

Update turnaround

We normally aim to complete a clear, in-scope minor update within three business days after receiving the complete request. We will confirm timing if testing, client clarification or a third-party dependency requires more time.

Scope, usage and client responsibilities

Separately quoted work

New insurance lines or substantial knowledge rewrites; new agents, locations or websites; new integrations or workflows; website repairs outside our installation; and changes to unrelated CRM or telephone systems are additional work. Appointment booking, outbound AI calling, call transfers and customer-facing automated email are not included in the standard scope and require a written add-on agreement.

Approval before extra charges

The proposed extra-work rate is $125/hour with a $75 minimum per approved job. After the minimum, time is billed in 15-minute increments. We provide a written scope and estimate, or a fixed quote, before starting. No extra work is charged without your written approval; we request further approval before exceeding the estimate. The minimum does not apply to included work or corrections of our own errors.

Usage is separate from revisions

Revision allowances do not define AI usage. Included conversation or call allowances, phone-number and carrier charges, overage rates and any spending cap must be stated in your written order before activation. These packages do not promise unlimited AI, voice or carrier usage. No numeric allowance is established by this draft.

When usage reaches the agreed limit

Your written order must define the alert recipient and whether service pauses, falls back or continues at an approved overage rate. We will not represent a cap, alert or fallback as active until it is configured and tested. An unapproved increase in the spending cap requires written approval.

Your ongoing responsibilities

Keep approved information current, review the accuracy of business facts, monitor and follow up with leads, and notify us before changing connected websites, credentials, CRM settings or telephone routing. Such changes can interrupt service. Retain appropriate human oversight and avoid submitting sensitive customer information in support requests.

Handoff and access

At handoff, we identify the deployed assistant, lead destination, support contact, known limitations and how to request updates. You receive access appropriate to the purchased service; account ownership, transfer rights and offboarding terms belong in the written order. Neither AI configuration nor these policies alone establishes regulatory compliance.

How these policies apply

This is a proposed service policy, version 1.0, dated October 13, 2026. It is a draft for review, not an active customer agreement. Once adopted, the client-specific written order controls any expressly agreed exceptions and must define usage, billing, cancellation and offboarding terms. New policy versions do not silently change an existing client agreement.
